Executive Director
New York City-based brass quintet Calliope Brass Music Association, Inc. is seeking its next Executive Director (ED) to lead strategy, fundraising, and operations. Calliope Brass expands upon the traditional norm of recital-style performances to offer engaging and interactive educational and performance programs that foster discovery and instill a life-long interest in classical music and brass instruments in those who participate. Since the organization’s founding in 2015, Calliope Brass has released two studio albums, brought education programs to over 60 schools, and presented over 160 performances across the United States.
Reporting to the Board of Directors, the ED has overall operational responsibility for Calliope Brass’ staff, programs, fundraising, and execution of its mission. The ED is responsible for expanding Calliope Brass’ profile and performance opportunities, as well as growing and maintaining the organization’s loyal donor base and grant funding sources. The ED collaborates closely with the quintet’s members who guide the artistic direction and support the ED in various administrative areas. This is a part-time role requiring approximately 50 hours per month.
Responsibilities Include:
Board Governance
Act as liaison between the ensemble and board members.
Provide regular reports to the board in order to facilitate informed decisions.
Schedule board and committee meetings in collaboration with board leadership.
Guide board members on how they can best support and advocate for the organization. Help recruit new members as needed.
Attend and participate in all board and committee meetings.
Financial
Create an annual budget for board approval. Report on budget vs actuals quarterly.
Reconcile bank accounts, produce cash flow documents, and make entries in QuickBooks Online accounting software.
Work with contracted CPA to ensure annual taxes are completed within tax year deadlines.
Approve payments to independent contractors and ensure timely delivery.
Fundraising
Strategize and implement the individual fundraising plan.
Find and cultivate individual donors.
Advise ensemble and board members in interactions with their associated constituents.
Create fundraising copy and strategize individual fundraising campaigns.
Generate and send end of year donation receipts.
Maintain accurate donor records in the organization’s CRM.
Strategize and implement the institutional fundraising plan.
Research and pursue relevant grant funding opportunities.
Write grant applications and reports.
Cultivate and maintain relationships with grant funding sources.
Plan and execute an annual benefit concert.
Lead event planning activities.
Source in-kind donations for the raffle and reception.
Act as day-of coordinator during the event.
Strategic Planning and Execution
Collaborate with quintet members to develop the artistic direction of the organization.
Drive the strategic planning process and ensure projects align with the organization’s mission.
Ensure the financial feasibility of all projects, using the organization’s annual operating budget as a guide.
Manage program operations to ensure deadlines are met.
Contracts/Booking
Respond to inquiries in the general mailbox. Delegate tasks and communicate relevant information to the Booking Manager.
Source leads for residencies, performances, educational programs, and other revenue-generating opportunities in collaboration with the Booking Manager.
Manage the contracting process; negotiate fees and act as contract signatory.
Design strategic plans to market programs to venues.
Other Responsibilities
Monitor the overall health of the organization and ensure compliance with relevant legal requirements.
Ensure operational compliance with the organization’s by-laws and policies.
Hire and manage the organization’s intern on a semesterly basis.
Preferred Qualifications
Experience with individual and institutional fundraising at an arts organization.
Experience with strategic planning and financial reporting.
Familiarity with Bloomerang (donor management software), Google Workspace, Mailchimp, and QuickBooks Online.
Collaborative approach essential.
Compensation
Annual compensation of $15,750.
